Within the Client Portal, you can view all billing documents that your clinician has shared with you. There are three types of billing documents, and each serves a different purpose.
Note: You can view your invoices, statements, and superbills in the Billing & Payments > Billing Documents section of the Client Portal. To learn more, see Viewing your billing documents.
In this guide, we’ll cover:
Invoices
An invoice is a bill specific to an appointment, a series of appointments, or a one-off service.
Invoices include:
- An invoice number and issue date
- A due date
- Client information
- Provider information
- The date(s) of service
- A description of the services or products provided
- The fee for each appointment or product
- The total amount owed
You can choose to Download or Print an invoice. If your provider offers online payments, you’ll also have the option to Pay Now. To learn more, see Making payments.
The invoice balance will update as payments are made. Once an invoice is paid in full, it will be marked as Paid.
Note: While invoices can be viewed and paid on the SimplePractice Client Portal app, you can only access your statements and superbills from the web version of the Client Portal.
Statements
A statement is a snapshot of the total you owe at any point in time. A statement typically covers a month and will show all charges and payments in that time frame.
Statements include:
- A statement number and issue date
- Client information
- Provider information
- A summary of the following details:
- The beginning balance
- The total amount invoiced
- The total amount paid
- The ending balance
- Itemized invoices with dates of service and service descriptions
- Payment details, including the date, amount, and type of payment
Statements are often used to track appointment and payment history. If you ever have payment or balance questions, viewing your statement history can help you find the answers you’re looking for. You can Download or Print a statement for your records.
Note: If you have any questions about what’s included on a statement or you notice an error, please reach out to your clinician.
Superbills
A superbill, also known as an insurance reimbursement statement, is similar to a statement, but provides additional diagnostic information, such as diagnoses and place of service codes. This information is required by insurance companies for reimbursement.
Superbills include:
- Client information, including date of birth
- Insurance information, if your clinician has this on file for you
- Provider information
- The date(s) of service
- A place of service code
- A service code (also known as a CPT code)
- Diagnosis code(s)
- A description of the services provided
- Total fees charged and total amount paid
- The reimbursement recipient
Note: If you have any questions about what’s included on a superbill or if there’s an error, please reach out to your clinician.
Superbills are typically provided if a clinician isn’t in your insurance network. Instead of submitting a claim directly to your insurance company, a clinician may give you a superbill. You can then submit the superbill to your insurance company, so they can reimburse you directly. You can Download or Print a superbill when viewing it in the Client Portal.
Note: To verify your insurance coverage or learn how to submit superbills for reimbursement, please contact your insurance company.
